Greenhouse ATS sync
Connect Greenhouse once and stop reconciling by hand — candidates and pipeline updates stay consistent across both systems.
Prerequisites: admin-level access in your partner workspace, and a Greenhouse account with permission to create API credentials.
Open the Integrations hub
Go to the Partner Hub and select the Integrations tab (https://os.thequantumclub.com/partner/hub?tab=integrations).
Connect Greenhouse
Find the Greenhouse card — described as "ATS integration for candidate syncing" — and select Connect Greenhouse. Provide the credentials from your Greenhouse account to authorize the link.
Confirm the sync is running
Once connected, the card shows Active along with its Sync Frequency and Last Synced timestamp. Use Sync Now to trigger an immediate sync, and Configure to adjust the connection.
What imports
The Greenhouse sync moves candidate data between the two systems so your team is never reconciling spreadsheets:
- Candidates — candidate records sync between Greenhouse and The Quantum Club, so a candidate sourced in either system is visible in both.
- Pipeline updates — as candidates move through stages, updates flow on the sync schedule shown on the card. The Last Synced time tells you how fresh the data is; Sync Now forces a refresh before an important review.
How to run both systems sanely
Two ATSs without a rule about which one decides is how candidates get lost. Pick a system of record per concern:
- If Greenhouse is your organization-wide ATS, treat it as the record for compliance and reporting, and use The Quantum Club for the work — Club AI matching, committee evaluation, Quantum Meetings interviews, and member-network sourcing.
- Make stage moves in one system per role, and let the sync carry them to the other. Editing the same candidate in both systems between syncs is the main source of confusion.
Check the sync before you debug
If a candidate looks out of date, check Last Synced on the Greenhouse card before assuming data loss — the most common cause is reading one system between sync cycles. Sync Now resolves it.
