Roles and permissions
Give every teammate the right access — four team roles, plus per-job permissions for fine-grained control.
A teammate's access has two layers: their team role, which sets company-wide capability, and their per-job permissions, which control what they can do on each individual search.
The four team roles
Every member of your company holds exactly one team role.
| Role | Best for | Company-wide capability |
|---|---|---|
| Owner | The account holder | Full control, including billing, integrations, and transferring ownership. |
| Admin | Operational leads | Manage the team, roles, company settings, billing, and integrations. |
| Recruiter | The people running searches | Create and run jobs; work candidates on jobs they are assigned to. |
| Member | Interviewers and hiring managers | Act on candidates for the jobs they are assigned to; no team or billing control. |
Talent Strategist is not a team role
A Talent Strategist is a Quantum Club advisor assigned to support your searches — not a seat you assign to a teammate. You will not find Strategist or Viewer in the team-role picker.
Per-job permissions
Candidate and offer access is not fixed by role — it is set per teammate, per job, when you add them to a search. This lets a Recruiter run point on one role while only observing another. Each job assignment carries these switches:
- View candidates — see the pipeline for the job.
- Schedule interviews — book and manage interviews.
- Advance candidates — move candidates forward through stages.
- Decline candidates — decline with feedback.
- Make offers — create and send offers.
A teammate set as the job's primary contact holds all of these for that job. Owners and Admins always have full access to every job in the company.
How access is enforced
Permissions apply at the action, not the menu. Someone who can view a pipeline but not advance candidates sees the same board without the advance control. If you attempt an action outside your role or your job assignment, the platform tells you directly — for example: "Your current job assignment does not include permission to advance candidates for this role."
